Job summary:

As our Office Manager, you will oversee all areas of office administration, ensuring an engaging and productive work environment.

Reporting to the Director of People and Organization and based in our beautiful Berlin office, your role includes welcoming guests, managing office logistics (including supplies and snacks), and organizing vibrant internal and external events.

You will support the team, thrive in bringing your unique flair to event planning, and excel in execution. We’re looking for someone who can add an edge to our office culture, and create a work atmosphere where people feel inspired!

 

Responsibilities:

Office management and administration:

  • Ensure the office runs like a well-tuned machine, with everything in place and running smoothly
  • Order and manage office materials with flair, ensuring everyone has what they need to shine
  • Keep colleagues happy with a thoughtfully selected array of fruits, snacks, drinks, tea, and coffee 
  • Maintain a consistent on-site presence during business hours to receive, sign for, and properly distribute all incoming deliveries, packages, and mail
  • Be the go-to contact for our valued external and internal service providers and suppliers
  • Expertly manage the office space, including meeting room usage and external rentals, creating an optimal environment for productivity

 

Events Management and Team Support:

  • Develop and implement initiatives that cultivate an amazing and vibrant working atmosphere
  • Provide a warm and welcoming reception to our wonderful guests, making their visit memorable
  • Be responsible for the visitor experience at our Hub (including registration, catering, welcoming, answering questions, and keeping the communal areas clear and inviting)
  • During training sessions, workshops, or similar events, you are present in the Hub and take charge of guest management
  • Support the organization and execution of both internal and external events with precision and creativity
  • Work alongside our diverse team, offering vital support in administrative and organizational matters
  • Plan and host regular smaller social events in the office to foster engagement and camaraderie

Profiles:

  • First work experiences in fast-paced environments 
  • Keen eye for detail, intuitively identifying where assistance is needed and taking action for our guests.
  • Proactive in developing the visitor experience at our Hub, bringing new ideas and taking ownership to implement them independently.
  • High level of integrity and discretion towards sensitive information
  • Highly motivated and organized, understanding priority/urgency and re-organizing appropriately
  • Creative mindset and a critical thinker
  • Extremely versatile, ability to multi-task and work effectively with minimal supervision
  • Entrepreneurial spirit and outstanding interpersonal skills
  • Excellent communicator in English (written and spoken)
